Privacy policy

The Blue Mountains Food Co-op Ltd. is committed to protecting the privacy of personal information it collects, holds and administers for the purposes of maintaining the cooperative membership register in accordance with our rules, contacting members about Co-op business and events, and maintaining employee and supplier records.

Personal information is information which directly or indirectly identifies a person.

PROCESSES
1. Collection
We will:
a) Only collect information that is necessary for the performance and primary function of the Co-op.
b) Notify members, staff and suppliers about why we collect the information and how it is administered.
c) Notify members, staff and suppliers that this information is accessible to them.

2. Use and Disclosure
We will:
a) Only use or disclose information for the primary purpose for which it was collected or a directly related secondary purpose.
b) For other uses, we will obtain consent from the affected person.

3. Data Quality
a) Take reasonable steps to ensure the information the Co-op collects is accurate, complete, up to date, and relevant to the functions we perform.

4. Data Security and Retention
The Blue Mountains Food Co-op Ltd. will:
a) Safeguard the information we collect and store against misuse, loss, unauthorised access and modification.
b) Ensure that any records held by the Co-op will be destroyed securely.

5. Openness
We will:
a) Ensure members, staff and suppliers are aware of Co-op’s Privacy Policy and its purposes.
b) Make this information freely available in relevant publications and on the Co-op’s website.

6. Access and Correction
We will:
a) Ensure individuals have a right to seek access to information held about them and to correct it if it is inaccurate, incomplete, misleading or not up to date. Membership details will be updated at the counter when membership is renewed or on the request of a member if membership details have changed.

7. Anonymity
We will:
a) Give members and other customers the option of not identifying themselves when completing evaluation forms or opinion surveys.
b) Give members the option of not shopping under their name. A membership card will need to be produced but once membership is verified as current the member can then complete their shopping as an anonymous ‘other’ member.

8. Making information available to other organisations
The Blue Mountains Food Co-op Ltd. can:
a) Only release personal information about a person with that person’s express permission. For personal information to be released, the person concerned must sign a release form.
b) Release information to third parties where it is requested by the person concerned.
